Job Purpose
To operate the workshop loading system effectively, adding incremental work where adequate resources exist and distributing the work to the technicians who are suitable and trained to complete.
Principal Accountabilities
Expected to report to work on time and remain on the job throughout regular working hours.
Keep workshop supervisors and service advisors informed of job delays and any additional work required.
Ensure all customers' vehicles are delivered within promised delivery times.
Distribute job cards with expected job completion time.
Ensure continued dealership profitability through correct loading of the service shop based on facility and manpower capacities.
Distribute job cards to appropriately skilled technicians based on priority and completion time.
Dispatch job cards according to the technicians’ skill matrix.
Determine daily manpower capacity based on total available technician hours.
Ensure accurate recording of available hours and hours worked.
Record number and causes of carry-over jobs.
Contribute to total customer satisfaction by ensuring proper distribution and execution of all repair orders and sublet repairs.
Keep service advisors informed when no more work can be accepted based on available hours.
Maintain accurate timekeeping records by ensuring all technicians clock on and off job cards.
Record incidences and causes of job stoppages.
Contribute to efficient service operations by minimizing causes and duration of job stoppages.
Prioritize waiting customers (appointments, repeat repairs, and carry-over work).
Required Qualifications
- Diploma or Bachelor’s degree in Automotive Engineering, Mechanical Engineering, or related field.
- Minimum 3–5 years of experience in workshop operations, service coordination, or dispatching.
- Strong knowledge of vehicle maintenance, repair processes, and workshop workflow.
- Proficiency in job allocation, time management, and manpower planning.
- Familiarity with Dealer Management Systems (DMS) and job card management software.
- Excellent communication and coordination skills with technicians and service advisors.
- Ability to analyze productivity data and prepare performance reports.
- Strong problem-solving and decision-making abilities under pressure.
- Certification in Automotive Service or Workshop Management (preferred but not mandatory).
